Who operates this site
CaliberNova is a brand operated by Faisal Ahmed LLC, a Texas limited liability company.
What this website collects
This site has no contact database and no advertising trackers. The form on the Contact page composes a message in your own email client and sends us nothing until you send it yourself.
The form on the Implementation requirements page does submit to us. What you type there is validated on our server, written to our hosting provider's application log, and emailed to us through Resend so we can reply. We use it to answer your enquiry and to scope potential work — nothing else. We do not sell information.
Documents processed during an engagement
Documents you upload are stored by CaliberNova, along with the fields extracted from them, the validation results, your reviewers' corrections, and a record of who did what and when.
To be classified and read, each document is sent to a third-party AI provider — Anthropic by default. That is a processing step, not a transfer of ownership, and it is the only point at which your documents leave our infrastructure.
How long we keep it
Data stored by CaliberNova. Your documents and the data extracted from them are kept for as long as your engagement is active, and after it ends until you ask us to delete them. We have not set a fixed maximum retention period, and nothing is deleted automatically on a schedule — we would rather say that plainly than publish a number the system does not enforce.
Deletion on request. Email us and we will delete your documents and extracted data from the live system. Deletion is carried out by hand today rather than by a self-service control, so allow a few business days and we will confirm in writing when it is done.
Backups, audit records, and legal obligations. Deleting data from the live system does not erase it everywhere at once, and no honest privacy page should imply otherwise. Backups are taken nightly and expire on a rolling schedule — the database within 90 days, uploaded documents within 30 — so deleted data ages out of backups rather than disappearing from them immediately. We also keep audit records of account and document activity, and server logs, which we may retain after a deletion request where we need them to investigate a security incident, resolve a billing dispute, or meet a legal or regulatory obligation.
Data held by the AI provider. Anthropic's published policy for commercial API customers is that inputs and outputs are automatically deleted within 30 days, and that they are not used to train models by default. Anthropic states exceptions to that window, including content flagged by their trust-and-safety systems and retention required by law. That is Anthropic's policy and not ours; we neither control it nor adopt it as our own retention period, and you should read it at the source: Anthropic's commercial data retention policy and their statement on model training. CaliberNova does not currently hold a zero-data-retention or HIPAA arrangement with Anthropic. If your compliance position needs one, or needs a different provider or a signed data-processing agreement, raise it before the engagement starts and we will tell you plainly what we can and cannot do today.
